"Be Prepared" and "Do a Good Turn Daily"

Meeting
Mtg Coordinators seal right 2

Are you nervous? I hope so!

This month we had the pleasure of a new employee joining Meeting Coordinators. While we were organizing things for an upcoming meeting, she asked me “What’s wrong?” I guess I must have had a puzzled look on my face. My reply was ‘Oh nothing really, I’m just nervous.” She chuckled and said “I doubt that…….after 30 years in the business!” You may be as surprised to hear my answer as she was. “I am nervous over every upcoming meeting, and the day I stop being nervous, I should quit the business.”  It’s not negative anxiety. I guess some may say it’s the perfectionist in me coming forward. It is an odd combination at this point. I have a feeling of pride knowing that we have done the necessary preparation but have we really prepared for all the contingencies? Meetings way too often fit the Murphy’s Law “If it can go wrong, it will.” Running meetings and events is like show business, and the show must go on. Speakers get sick, A/V equipment breaks, the chef is late with the meal, the weather is inclement and attendees are late, etc. None of these situations are totally under your control, so you have to expect the best but prepare for the worst. Remaining pleasant, fixing the glitches on-site, and acting with speed and professionalism is what can make or break a meeting. A while back I heard a professional speaker say something very similar.  He said he was nervous going on stage. He always wonders, “Did I do enough research and do I know my audience and what they really expect?” The same is true for me…and all of our staff!

The founder of the Scouts, Robert Baden-Powell, once said:
"Be Prepared... the meaning of the motto is that a scout must prepare himself by previous thinking out and practicing how to act on any accident or emergency so that he is never taken by surprise."

So, how nervous are you?
