Keep it Summer Simple

Have you ever heard anyone complain that the meeting was too short? (Neither have I.) Business meetings are necessary but long meetings can be exceptionally frustrating in the summer. A long day or a late meeting in mid-December won’t feel half as annoying as the same meeting in mid-July or August. You can’t, of course, eliminate the summer meetings, but you can shorten them and add a component of fun. I recognize that some of these points may be obvious but in our busy professional lives we sometimes forget. Therefore, let me give you my list for keeping summer meetings simple:

  • When drafting the agenda, it is your responsibility to provide clear meeting objectives. Spending additional time at this step will save time for all involved. You also need to allocate discussion time for each item.
  • Take a look at your attendee list….do all really need to be in attendance? Would it be better for them to just receive the meeting summary?
  • Try an experiment….could you schedule the meeting for half the time you originally intended?
  • Send the agenda out in advance so that attendees can be prepared.
  • Request that everyone arrive on time, noting that the meeting will be in half the normal allotment. It is crucial that you start on time.  Don’t wait for stragglers. Soon enough people will get the idea that you start on time.
  • Focus on each agenda item and defer topics not specific to that item.
  • End on time.
  • Have you added any fun?

Adding Summer Fun
To encourage on time attendance, tell them that at 10 minutes before the meeting you will have iced tea, lemonade or popsicles.
Hand out tootsie roll pops.
Buy “penny candy” or bubble gum and pass it out as they leave.
Give away trinkets you can find at the dollar store and place one at every seat.
If it's a beautiful day, hold the meeting in the building courtyard.
No courtyard you say, then hold the meeting in the parking lot - tailgate style.

Time saved in a meeting = productive time returned to the company.

Outstanding Marketing and Sales Professionals Sought for MSED Platinum Award Nominations
The Marketing & Sales Executives of Detroit (MSED) is currently accepting nominations of exceptional marketing and sales professionals in southeastern Michigan for the organization’s coveted Platinum Awards.

Two Platinum Award winners will be honored at MSED’s 21st Annual Black-Tie Gala Dinner in October. The awards recognize work which led to the awarding or generation of new business and/or cost savings from Jan. 1, 2013 through June 1, 2014. Nominees do not have to be MSED members and the nominations can be made for a team or individual.  Past Platinum Award Winners include individuals or teams from companies such as Borg Warner, Rugged Liner, Reliance One, Dow Automotive, CSM Worldwide, Priority Health, Grede Holdings, SKF, Rehmann and Compuware.

The platinum award nomination form can be downloaded through the MSED website.  The completed nomination along with additional information about the nominee should be emailed to Meeting Coordinators  by September 1.
